Job Overview This is a full-time position as an Inventory & Administrative Associate.
As an Inventory/Administrative Associate, you will be supporting the Inventory Department, as well as backing up the Administrative department.
Inventory tasks include tracking & receiving equipment deliveries daily, performing inventory counts on technician vans & stock room, ordering equipment and restocking vans as needed, updating vendor/equipment pricing as needed, creating job folders for customer projects, and other Inventory tasks as assigned.
Administrative tasks include answering incoming calls, monitoring emails received, and dispatching our technicians to pending jobs.
In addition, the position provides a full range of moderate to complex clerical/secretarial work assignments and helps our office to run smoothly and efficiently.
Responsibilities require making independent judgment in prioritizing assignments and selecting the most appropriate course of action within established operating procedures.

Inventory Associate:
Track & Receive Equipment Daily Perform Inventory Counts on Technician Vans & Stock Room Monthly Restock Van Equipment as Needed Generate purchase orders to order stock required Update vendor/equipment pricing as needed Create Job Folders for Customer Projects Administrative Associate:
Answer Incoming Calls and Monitor & Respond to Emails sent to our office throughout the day.
Dispatching Duties:
Maintain the service department daily schedule, dispatch technicians out to jobs using dispatching and mapping software.
Communicate with technicians of any changes or updates as they arise.
Make daily outbound calls for customer follow-up and scheduling of work.
Contact customers to confirm appointments.
Accurately update and maintain customer records.
Provide general office support as needed.
Handle sales inquiries and incoming work requests.
Organizing, scheduling, dispatching appointments and service calls as needed.
Prepare and compose correspondence, reports, etc.
Maintain the general office filing system.
Job Requirements Experience working with Inventory preferred.
Ability to lift and move boxes and equipment weighing up to 50 lbs.
Safe working and ladder practices are essential.
Working in and dressed for all Maine weather climates in confined spaces.
High attention to detail, well-organized, and able to multi-task.
Proficient in Microsoft Office applications.
Excellent verbal and written communication skills.
Ability to answer and direct phone calls in a polite and friendly manner.
Excellent time management skills, with a proven ability to meet deadlines.
Ability to prioritize tasks and to delegate them when appropriate.
Ability to function well in a high-paced work environment.
Ability to quickly learn new computer programs/systems.
Professional, punctual, responsible, versatile, self-motivated team player.
Ability to interact with customers and vendors in a professional, sensitive, and confidential manner.
